We've been evaluating the demo version of TanTrack, and like it pretty well. One thing we haven't been able to figure out is a way to easily pro-rate an EFT when a customer signs up.
Example: Let's say we want to run our EFTs on the 15th of each month. New customer comes in on the 23rd, signs up for EFT. What's the easiest way to manage this? I contacted TanTrack, and they said that their software is setup to run an EFT each month from when the EFT is set up (so for the person above, it would run on the 23rd of each month). Looks like I'd have to grab a calculator, find the pro-rate for the first month, and then enter into Packages and create a new package for the pro-rate, and then assign the customer to that special EFT package I just created. Then, I'd have to go in and edit the customer afterwards on the day I wanted the EFTs to carry over to, and recreate the EFT. Is there an easier way to do this? And, what happens if it only bills the same day each month...and a customer signs up on the 31st of a month...and the next month only has 30 days? Does it run it automatically a day later, or a day earlier...or does something manual have to be done? Last edited by Tanning IN; 27th May 2009 at 05:55 PM.. |

Not sure about TanTrack,but the way you should do it, is to charge the amount on the same day every month. So for example you choose the 15th of the month. Regardless how many days there are, you are charging them once a month on the same day every month.
You should also be able to set it to pro-rated (variable) so that it calculates daily. If your billing day is the 15th of the month and you sign someone up on the 30th of the month, it should calculate the 15 day rate daily at say 66cents/day (if it's $19.99 a month) and charge the customer 66cents x 15 days $9.99 for the remaining days until the next billing day which is the 15th of the month. On the 15th, they'll be charged $19.99 for the next month. As they are charged in advance for the month. TanTrack shouldn't be any different....I used to do that in Helios, you should be able to do that in TanTrack and pretty much every other tanning software that does EFT's. Just look under the membership type and select EFT or something like that, put it to variable to calculate at fluctuating cost and set the billing date to which it should calculate from.

Din: Exactly what we want to do, charge all EFT customers on the same day. We are calling it our EFT monthly charge.
I just don't want to have to create 31 different packages to get the system to pro-rate it for us, figured there had to be a way to have the software realize what our EFT bill date is each month, and have it automatically charge the appropriate amount for the first month. |

I'm in Canada so they didn't support EFT billing, i had to use my CC processing company. because it doesn't recognize Canadian banking info, i had to process the EFT charge manually on the 15th of every month in the computer. Wasn't hard, just go to the EFT tab and select all active customers and click process. it would charge the monthly fee to their file and put it under EFT charge (credit card/debit..whatever..same thing.) I'd match it up to my online approved transactions from my CC processor and that was it.
You are in the US, should be able to do it all with Tantrack
