Default Sunless Salon Procedures (Spray-On)

Over the last few months we have had many emails & calls asking about sunless procedures for tanning salons that offer spray-on tanning. After working with several salon owners, inspectors and insurance staff, we have put together the followning as a suggestion. You can alter the following to meet your own salon needs.

Sunless Spa Procedures

Sunless spa owners and operators have a responsibility to operate their facility under the structure of well-developed, up to date and principled procedures. Although most State Boards of Cosmetology do not offer required standards for sunless operators, the following list is considered to be a general and responsible list of operating procedures offering by the American Tanning Institute.

NOTE: If your state has specific regulations governing any aspect of your sunless tanning service, these regulations must be included in your sunless procedural policies.

CONSUMER INSTRUCTIONS
1. All consumers, prior to the first sunless session should be required to sign and date a consent statement that has been read and understood. An operator should review the consent statement prior to the consumers first sunless session or upon any renewal of information. These documents should be signed and dated on the customers initial visit, and should be renewed at least annually thereafter.

NOTE: Operators have an obligation to their clients to maintain confidentiality. Every effort should be made by all individuals to safeguard the privacy of each client. Confidentiality includes the protection of the client's name, phone number, and address. Operators should not discuss the information they learn about client outside of the salon; and, only information about clients relative to the sunless experience shall be shared with other facility staff.

2. Prior to the first sunless session, a minor's parent or legal guardian should sign and complete a consent statement in the presence of a facility operator.

3. Each time a consumer receives a sunless application, a trained operator should instruct the consumer in the proper breathing and eye protection steps. Consumers refusing to adhere to proper sunless procedures should not be allowed to tan.

OPERATION OF SUNLESS EQUIPMENT
Prior to the first sunless session, a sunless operator should give the consumer complete instructions on breathing and eye protection procedures. Examples include: holding the breath during sunless application near the face, when to lift to lift and lower face, arms and legs during body application; description of user positioning to such as comfort positions; and an explanation of the sunless process as well as the sunless system being used.



SANITATION
1. After each use, the sunless equipment must be properly cleaned with an EPA approved sanitizer and must be cleaned by a facility employee. The sanitizer shall be intended for use on sunless equipment and shall be mixed according to the directions stated on the container. Areas such as floor, handles, seating surfaces and other areas that come in contact with consumers must be properly sanitized.

2. If used during the sunless process, protective eyewear must be sanitized prior to use (unless disposable) by a salon employee. The sanitizer used must be appropriate for use on eyewear and mixed according to the manufacturer's instructions. The eyewear should be cleaned to remove buildup of mascara, etc. Straps must also be sanitized. The eyewear should be soaked if indicated by the sanitizer instructions.

EQUIPMENT TESTING AND MAINTENANCE
1. After each client, the solution container should be removed from the spray system and cleaned and sanitized according to manufacturer specifications. .remove the paint jar from airbrush, and attach spare jar (or thoroughly clean jar in use) containing cleaning material (proper reducer for material being used). Continuously spray material through airbrush, until all residue paints are cleared out of gun.

2. Although it is not necessary to disassemble your airbrush after each use, and not recommended, the outer section of your system should be wiped down with a sanitizing product. A thorough disassembly and cleaning is rarely needed if proper cleaning is done after each use.

3. Maintenance should be performed on sunless equipment when noticeable deficiencies in equipment function are noted or as recommended by the manufacturer in the Users' Instruction Manual that comes with the sunless system. A manual should be kept at the sunless facility for each system used.

RECORDS

1. A record of the consumer's total number of sunless visits, dates, equipment used and type of product used should be maintained at the facility.

2. Invoices and maintenance notes should be kept for one year documenting repairs and replacement of parts on the sunless equipment. All equipment maintenance other than cleaning and sanitizing should be documented in a maintenance log. Dates, maintenance performed, and the person's name and initials performing the maintenance should be recorded in the log.

3. The sunless facility should maintain records of Facility Specific Training and Formal Training for all current and past employees.

INJURIES
1. The sunless facility should insure that a policy is in place to address the handling of consumer complaints involving actual or alleged injury. Each tanning facility operator should be aware of these procedures.

2. A facility report should be filled out as soon as the client's needs are handled. The report should include the following information:

a. The name, address and telephone number of the injured person.

b. The sunless facility name, address and phone number.

c. Name of staff on duty.

d. Diagnosed or documented injury type for either actual or alleged consumer injury and the name of the attending physician if applicable.

e. A copy of all the customer's sunless application history.

f. All other relevant information involving the consumer injury.

g. A reminder to contact the sunless facility owner or management as soon as reasonable to do so.
